Effective communication is vital to the success of any organization, and Phi Sigma Pi chapters are no exception. In a chapter filled with various activities and events, effective communication acts as a thread that binds members together, ensuring that everyone is informed and engaged. Keep reading to learn more about how good communication practices can elevate your chapter’s culture and performance.

1. Continuous Engagement
Between class, chapter activities, and other commitments, it can be easy for members to lose track of upcoming events. This is where continuous engagement comes in as a crucial strategy. By utilizing channels like group messages, emails, and reminder notifications, chapters can keep Members accountable. Regular reminders about organizational functions not only help boost participation but also instill a sense of responsibility among Members toward their roles and commitments.

2. Utilizing Multimedia Platforms
Leveraging multimedia platforms such as PowerPoint presentations and Google Calendars can significantly enhance the effectiveness of communication. Incorporating visual aids during meetings not only makes information more digestible but also ensures that it resonates with members on a deeper level. Additionally, posting important updates on Google Calendars and sharing PowerPoint presentations serve as valuable reference points for members to stay updated.

3. Harnessing the Power of Email Updates
Immediately following each chapter meeting, sending out a comprehensive email listing all upcoming events, along with detailed descriptions, timings, and locations, is highly valuable. This not only ensures clarity but also allows members to plan and prepare accordingly.

4. Timeliness is Key
When it comes to communication, timing is everything. An email or message sent out ahead of scheduled events ensures that members have ample time to mark their calendars and make necessary arrangements. As leaders entrusted to guide our chapters toward success, it is important to understand the significance of effective leadership and delegation. Delegating effectively not only ensures the fulfillment of your role but also empowers the entire chapter, fostering a collaborative and dynamic environment.

So, what exactly is delegation? It’s a collaborative approach that allows us, as leaders, to focus on our unique responsibilities while providing opportunities for others to contribute. In this blog, you’ll learn how to consider the individual strengths of your fellow leaders and the entire Chapter to best delegate tasks to the people who will enjoy them. 

Identify Priorities

Determining the priority of tasks or projects is the first step in successful delegation. Recognize which items are most important, meaningful, or time-sensitive. This clarity allows you to allocate responsibilities effectively and focus on tasks that demand your attention.

Capitalize on Individual Strengths

Understanding the strengths of each team member is crucial for effective delegation. Select tasks that align with individual skills and interests, and when necessary, provide guidance and training. This ensures that each member is set up for success in their assigned tasks.

Clear Communication

When delegating, it is essential to communicate your expectations. Share preferences, ideas about the final product, and deadlines to avoid misunderstandings. Effective communication sets the foundation for a smooth and successful collaboration.

Trust and Empower

Once a task is delegated, trust the person to complete it and empower them to leverage their expertise. Feel free to periodically check in on their progress, but avoid micromanaging.

Provide Feedback

Upon task completion, take the time to offer constructive feedback. Recognize and acknowledge a job well done publicly, fostering a positive and supportive chapter environment. Remember to always offer constructive criticism privately.

By delegating effectively,  we not only enhance the efficiency of our chapters but also create an inclusive and empowering environment where every member plays a vital role. Delegation is not a sign of weakness, but a strategic move to build a stronger, more productive, and unified chapter.

Sarah Smith, Director of Member Engagement at the Phi Sigma Pi National Office, recently earned recognition from the Central Penn Business Journal for her various leadership roles within Phi Sigma Pi and other organizations.

The “Women to Watch” award honors women leaders 35 years old or younger, stepping up to help shape Central Pennsylvania through career and community involvement. 

In her role at Phi Sigma Pi, Smith works to ensure an engaging Membership experience for all Members. She organizes the annual National Convention, connects Members through the online CORE community, and is Phi Sigma Pi’s liaison to our National Philanthropy, HOBY, and other affiliated partners. Smith has also long been passionate about volunteerism, and her work in the local community spans from working with high school students through HOBY to serving veterans at the Veterans of Foreign Wars Auxiliary (VFW.) 

In 2007, Sarah attended a Central PA HOBY seminar as a high school sophomore, representing the Central York High School sophomore class. Since then, she has been actively participating in HOBY’s programs. She first served as a Community Leadership Workshop (CLeW) volunteer, and then as a high school team alumni volunteer at the Central PA HOBY Seminar the following year. Her strong work ethic, willingness to help, and ability to represent the organization positively led to her involvement in HOBY’s Seminar Program team.

Heather Myers, Vice Chair of Ambassador Relations and Recruitment for Central Pennsylvania Hugh O’Brian Youth Leadership (HOBY) has worked with Sarah for over a decade in multiple volunteer roles. She has had the opportunity to watch Smith grow as a leader and emerge as a role model to her peers during the past fifteen years of collaboration. 

“Everything that Sarah has done throughout the years for HOBY has been impressive. She always completes tasks with the highest level of enthusiasm,” Myers says. “Sarah is always incredibly respectful, helpful, and truly one of Central PA’s standouts!”

Smith first volunteered with the VFW at the age of five and has continued to serve local veterans in a variety of elected and appointed positions on all levels. Jodie Hollinger, Secretary-Treasurer of the VFW Auxiliary, Department of PA has worked alongside Smith over the years in these roles.

“Even with her busy schedule, her dedication to our veterans and our cause has never been questioned. She has held many elected and appointed positions through the years on all levels; Auxiliary, District, and Department,” Hollinger says. “Her personality and love for what she does show in her commitment to the VFW Auxiliary.”

Smith is also passionate about development and mentoring. She serves as a mentor in the Lancaster Chamber of Commerce’s Young Women Mentor Program, where she provides guidance to local high school girls to help them explore potential career paths. She successfully launched Phi Sigma Pi’s mentorship program, Mentor Match, which pairs alumni members with students and recent graduates to provide professional development and guidance, Member to Member. 

In her nine years at Phi Sigma Pi, Smith has enriched the experiences of thousands of Phi Sigma Pi Members, created opportunities for alumni members to stay connected to the organization, and impacted many along the way. Phi Sigma Pi has received several National awards thanks to her important contributions. Executive Director Suzanne Schaffer says that Smith’s impressive professional background showcases her exceptional leadership and expertise.

“Sarah is a talented, driven, and accomplished young professional,” Schaffer says. “I am confident that she will continue to excel and make significant contributions to the association industry and the community.”
